AI Cost Control

Our AI bill is growing faster than its results

Find every source of AI spend, tie it to an owner and an outcome, and put the controls in place to keep it predictable.

In brief

AI Cost Control is a Kalosys service that finds every source of AI spend, including licenses, API usage, cloud GPU and AI features in software you already own. It ties each cost to an owner and an outcome, then puts policies, model routing and budget controls in place so AI spend stays predictable. It starts with a fixed-fee assessment.

THE PROBLEM

Why this matters now

AI spend now arrives through many routes at once: seat licenses, API tokens, cloud GPU, and AI features bundled into existing SaaS. Nobody owns it end to end, so costs grow faster than measurable results and leadership can't tell which spend is producing value.

HOW IT WORKS

Start small, prove value, then run it

Most organizations now pay for AI in four or five places at once: seat licenses, API usage, cloud GPU, and AI features bundled into tools they already own. Nobody sees the whole picture, so costs climb faster than results. We start with a short, fixed-fee audit that finds every source of AI spend and ties it to an owner and an outcome. From there we put the controls in place, and if you want, we report on it every month.

  • License true-ups

YOU RECEIVE

  • Monthly AI spend report
  • Quarterly optimization review

SCOPE AT A GLANCE

What's included, and what isn't

Included

  • Every AI spend source for the teams in scope
  • A cost-per-outcome baseline for the top use cases

Not included

  • Implementing the savings plan, which is the Build step

Done when

Every material AI cost has an owner and a use case, and a savings plan is approved.

OUTCOMES

What you get

  • One view of all AI spend
  • Every dollar tied to an owner and a use case
  • Waste removed and budgets predictable

IS THIS FOR YOU?

You may need this if

  • AI costs rising month over month
  • Different departments buying their own AI tools
  • Finance asking what the AI spend is producing
  • A recent budget surprise

QUESTIONS

What leaders usually ask

Do you need access to our systems?

For the assessment we typically need read access to billing data, license reports and cloud cost exports, plus short interviews with the teams using AI. Access is agreed with your security team up front.

What is model routing?

Sending each request to the least expensive model that can handle it well, instead of sending everything to the most capable and most expensive model.

Will this slow down our teams?

The aim is the opposite: clear policies so teams know what they can use without asking, with controls only where spend or risk is high.

We already have a FinOps team or tool for cloud.

Good, we'd build on it. Most cloud FinOps tools see GPU and cloud API spend but miss seat licenses, SaaS add-ons and tools bought on expense reports. The assessment covers all of those and plugs into what you already use.

Our AI spend isn't big enough to worry about yet.

That's often the best time to set it up, before habits form. The assessment is short and fixed fee, and it will tell you whether the spend is growing faster than the value.

We'll just cut licenses ourselves.

That can save money quickly. The risk is cutting tools that are producing results while keeping ones that aren't. The cost-per-outcome baseline is what lets you cut with confidence.
